Everything owners and staff need — from first login to reports.

1 · Getting started

  1. Register at /register — business name, first branch city, country, and plan (monthly or yearly; the price updates for your country).
  2. Accept the Terms, Privacy Policy, and Service Agreement.
  3. Wait for admin approval (usually same day). Approval starts your subscription.
  4. Sign in — your first branch arrives with example stations, prices, and cafeteria items ready to edit.
If payment is ever late, you get a 3-day grace period; after that access pauses but your data is never deleted — renewing restores everything instantly.

2 · Setup

  • Branches — each location has its own stations, staff, prices, and currency (Setup → Branches; switch with the top dropdown).
  • Stations — PlayStations, pool tables, and seats. Put a station in Maintenance to hide it; stations with payment history can be disabled but not deleted (protects your records).
  • Tariffs — per-game (e.g. Pool 50/game), hourly (e.g. PS 350/hour), and VIP. Changing a price never changes past bills.
  • Payment channels — Cash, Telebirr, eBirr, CBE Birr included; add your own. Used channels can be deactivated, not deleted.
  • Cafeteria items — products with size prices (Water 0.5L/1L, Coffee single/double…).
  • Staff — cashiers see only the monitor and cafeteria; managers see everything. Suspend or remove accounts anytime.

3 · Daily operations — the Monitor

  1. Tap a free (green) station, choose the tariff, press Start.
  2. Per-game sessions start at 1 game; press + Game after each match (match times are recorded).
  3. Add drinks to the card — they join the table's bill.
  4. Optional booked minutes show a countdown that turns amber, then blinks red in the last 5 minutes.
  5. Press Stop & Pay, pick the channel — done.

4 · Split payments & discounts

When a group shares the bill, press Split / Discount on the card:

  • Add up to 8 people, each with a name, their games (or amount for hourly), and their own payment channel — the last person automatically takes the remainder.
  • Assign each drink to the person who ordered it.
  • Apply an amount or % discount before the split.
  • Every person's payment is recorded separately with their name — see them on the Payments page.

Example: six friends, seven games at 50 birr — Ali lost 2 and pays 100; the rest pay 50 each, some cash, some Telebirr.

Walk-up cafeteria sales have the same Split – group option (up to 6 people, color-coded quantities per person).

5 · Reports & insights

  • Reports — Daily / Weekly / Monthly or custom dates, filtered by staff, station, or type (PS / Pool / Seats). Export CSV, a day-by-day CSV, or the Weekly PDF preview ready to print.
  • Staff performance — money collected per employee, night-shift activity, expected vs collected.
  • Match activity — every match with real start/end times, filterable by date, station, type, and staff.
  • Audit log — sensitive actions, last 10 by default with filters and Show-all.

6 · Coin control (per-game pool tables)

Coin-operated pool tables get a full anti-theft loop:

  1. Issue — the manager gives staff physical coins and records the number (e.g. 250 → ≈ 22,500 at 90/game).
  2. Play — recording each game burns 1 coin automatically; staff without coins cannot start a per-game pool table. The physical coin sits inside the table's locked box.
  3. Spot check — the Coins page shows live what must be in each staff's hand and inside each box.
  4. Incidents — stuck coins are written off only by a manager, with a note referencing the CCTV time.
  5. Closing — the manager keys open the box and counts both piles. More coins in the box than recorded games = games played off the books; fewer coins in hand than expected = owed. A clean shift shows ✔ balanced and cash due = games × price.

Hourly/VIP tables and PlayStations are controlled by time billing, match timestamps, and CCTV instead — coins apply only where the table physically takes them.

7 · FAQ

Can prices change mid-day? Yes — running sessions keep the price they started with.
Staff forgot + Game? Press it when noticed; games are counted, not timed.
Two people, two phones? Use Split — each person picks their own channel.
A station disappeared? It's in Maintenance — Setup → Stations → Enable.
Forgot password? Contact your provider to reset it.
Phone support? The whole system works in a phone browser.
